World Snooker Grand Prix 2026 Invitation to Tender

Introduction

F-Sports Promotions Limited is the official promoter and organiser of the “2026 World Grand Prix Snooker” (the “Event”).

The Event is a professional snooker ranking tournament sanctioned by the World Snooker Tour. It will be held from 3 to 8 February 2026 at the Kai Tak Sports Park.

F-Sports Promotions Limited hereby invites qualified contractors to submit tenders for the following services. Tenderers may submit proposals for one, multiple, or all lots.

Eligibility
Tenderers must possess experience and a proven track record in planning, promoting, marketing, and managing similar large-scale sports events. For joint submissions, the lead tenderer must be clearly identified.

Scope of Work
This tender is divided into five lots:

Lot 1: Public Relations and Promotion
The successful tenderer will be responsible for all strategic communications and promotional activities to maximise public engagement and media coverage of the Event. Key responsibilities include:

  • Developing and executing comprehensive PR, marketing and promotion strategies and plans.
  • Planning and managing media activities, including press conferences and media meetings.
  • Coordinating and executing all Event-related media liaison and information dissemination.
  • Drafting and distributing all press releases, media advisories and match results.
  • Arranging and coordinating interviews and feature stories for players and officials.
  • Managing the Event’s official website.
  • Developing strategies and managing operations for social media pages/channels.
  • Producing all promotional materials, handbooks and event programmes.
  • Managing media accreditation and operating the media centre.

Lot 2: Event Execution, Management and Promotion Activities
The successful tenderer will be responsible for the overall operational planning, logistics, stakeholder management and promotional activities of the Event. Key responsibilities include:

  • Liaising with key stakeholders, including the World Snooker Tour, Hong Kong government departments, venue operators, sponsors, and player management teams.
  • Inviting and coordinating with government officials and ceremonial guests.
  • Assisting the organiser in fulfilling sponsor benefits and follow-up tasks.
  • Applying for all necessary permits and licenses for the Event.
  • Managing services such as players’ lounges and practice areas.
  • Responsible for on-site management, logistics support and personnel execution for opening and closing ceremonies.
  • Planning and executing community engagement and youth development programmes based on the overall promotion strategy developed in Lot 1.
  • Conceptualising and implementing innovative fan interaction and public engagement activities.
  • Managing and executing on-site setup, personnel allocation and process control for all activities.
  • Developing and implementing comprehensive contingency plans for emergencies.
  • Submitting a final written report to F-Sports upon completion of the Event.

Lot 3: On-site Production and Venue Management
The successful tenderer will be responsible for the technical and on-site execution of the Event at the Kai Tak Sports Park. Key responsibilities include:

  • Overall venue management and operations.
  • Comprehensive venue setup, including spectator stands, venue decorations and signage.
  • Setting up the playing area, including World Snooker Tour official equipment and lighting that meets broadcast standards.

Lot 4: Ticketing Planning and Management
The successful tenderer will be responsible for the end-to-end commercial operation and management of Event ticketing, aiming to maximise ticket sales revenue and attendance. Key responsibilities include:

  • Developing and executing comprehensive ticketing sales strategies targeting different channels and customer segments.
  • Planning and managing the ticketing product system, including pricing, seating zones, early bird tickets, package tickets and various promotional ticket types.
  • Planning and executing marketing activities and sales incentive programmes directly linked to ticket sales.
  • Managing ticketing system operations or coordinating with designated ticketing platforms to ensure smooth sales processes.
  • Managing ticketing channels, including direct sales, agent distribution and partner channels.
  • Providing customer service related to ticketing.
  • Monitoring and analysing ticketing sales data, providing regular sales reports, and dynamically adjusting sales strategies based on performance.

Lot 5: Sponsorship Sales
The successful tenderer will be responsible for the Event sponsorship sales process, aiming to maximise the Event’s commercial value and sponsorship revenue. Key responsibilities include but are not limited to:

  • Developing comprehensive Event sponsorship sales strategies and sales plans.
  • Planning and designing multi-tiered sponsorship benefit systems and return-on-investment proposals.
  • Proactively identifying, engaging and signing various potential sponsors.
  • Coordinating with various execution teams to ensure sponsors’ benefits are fully delivered on-site and in promotions.
  • Providing sponsorship effectiveness evaluation reports and offering value-added services to sponsors.

Tender Evaluation and Award
Tender evaluation will consider both technical and pricing aspects. The evaluation criteria are as follows:

  • Technical Proposal (Weight: 50%):
    • Experience and track record in providing similar services for large-scale international events.
    • Quality, comprehensiveness and feasibility of the proposed methodology and work plan.
    • Qualifications, experience and expertise of key personnel assigned to the Event.
    • Understanding of the scope of work and the specific challenges of a world-class snooker event.
    • Innovative ideas and value-added services proposed.
  • Pricing Proposal (Weight: 50%):
    • Overall cost and cost-effectiveness.
    • Clarity, detail and rationale of the budget breakdown.
    • Financial stability of the tenderer.

F-Sports Promotions Limited reserves the right to select the tender that offers the best overall value, which may not necessarily be the lowest-priced tender.

Confidentiality and Non-Assignment
Tenderers must keep the terms of any agreement with F-Sports Promotions Limited and all other non-public commercial information related to the Event strictly confidential. Without prior written consent from F-Sports Promotions Limited, tenderers may not assign any rights or obligations under the agreement.

Tender Requirements
Tenderers must submit their tender specifying the lot(s) being tendered for. The tender must include:

  • Company background and profile.
  • Detailed relevant experience, including specific examples of similar projects.
  • Proposed methodology and work plan for delivering the scope of services.
  • CVs of key personnel assigned to the Event.
  • Detailed fee proposal and comprehensive budget breakdown.
